Share

A searchable knowledge library that links back to its decisions

Share is where org artefacts live: documents, decks, runbooks, brand assets. Tag by category, attach a leader’s note, link to the source decision, and watch the engagement counters.

  • Tag each resource by category: policy, guide, report, tool, or the output of a decision.
  • Add a leader’s note so the reader knows why the resource matters before they open it.
  • Watch the engagement counters (views, clicks, downloads, plays) to see what people actually use.

How it works

Three things Share gets right.

Categories that mean something

Policy, Guide, Report, Tool, and Decision output. Not Misc and More. Browsers and admins both find what they need in one tag.

Leader's note: the why, not just the what

A short note from the resource owner. 'Skim section 4 (voice) before writing any external comms next quarter.' Context travels with the file.

What’s built in.

Categories that mean something
Policy, guide, report, tool, decision output. No “misc.” folder, no taxonomy by committee.
Leader’s note
Add a short note explaining why this resource is worth opening. Context travels with the file.
From-decision link
Every artefact can point back to the decision record it came from. The audit trail stays complete.
In practice

How teams use it.

Comms leads

A Comms lead pins the 2026 brand guidelines with a leader’s note pointing readers to the new typography section. Engagement counters surface which sections actually get opened.

Board secretaries

The decision archive is exported quarterly as a single PDF under Governance category. Board members and external auditors can find every governance decision in one place.

Share plays well with the rest of OneSpot.

FAQ

Questions about Share

What file types does Share support?

PDF, Word, Excel, PowerPoint, images (JPEG, PNG, WebP), and video. External links also count as resources, with their own engagement counters.

How does the 'From a decision' link work?

When you publish a resource from a Decide record (e.g. a policy doc), OneSpot stamps the From a decision flag on the resource. Click it to jump straight to the source record.

Can I see who downloaded a file?

Executives see counters at the resource level (views, clicks, downloads, plays). Per-user logs live in the Audit module for compliance reviews.

Is there versioning?

Resources keep a simple Updated date. For full version history, link the resource to a Decision record. The immutable decision archive is the version system.
